Accounting Software

Hey Guys,

I've finally decided on the software I'll be using for time tracking and billings (Billings 3) but now I need to look at what I'll be using for accounting. Any suggestions?

I've recently moved from South Africa to the USA. I still have a business in South Africa, but my books for there is relatively simple and I have an accountant who does them for me. However, being a complete novice to US taxation and accounting rules I need something that will make it easy.

What do you use? And why do you like it?

I use Quickbooks, and hate it.

I'm still looking for a simple, web-based, open source app that simply tracks income and expenses, and lets me create expense categories on the fly. Maybe I should give the Hot Scripts site a look-see.

Take a look at xero.com.

Their website looks good but I haven't tried it. Is anyone here using it?

Right now that site only runs a few Commonwealth countries, however. Hopefully a U.S. version will be available soon. Thanks for the link.

I'd recommend hiring a tax accountant. They will save money for you in ways that you can't even comprehend because of the complexities of the U.S. Tax Code.

I track all my AP and AR and at the end of the year hand all my data to my accountant and voila: I usually get refunds every year.

On Leopard, I'm a big fan of iBiz. Got it for a great deal in one of those mac software bundles they do from time to time.

It's great on the accounting side, and lets you fully customize your invoices and such. It's very easy to use, very "Mac-like". Won some Apple design awards I believe, and integrates nicely with the personal finance manager from the same company, iBank.

However, I have not yet done taxes with it so I'm not sure how well it would perform in that area. I might use iBank instead anyway. I'm putting off even thinking about that.

My only one complaint about this app is, the timer feature in it is kind of downplayed. I think the timer should be the focal point of the UI, at least in project tracking mode. Also might be good if when you created a new project it auto-started the timer (or an option for this behavior). I frequently start projects and get a half hour in before I realize I didn't start the timer. Luckily I usually notice soon enough, I suppose I just need to get the hang of clicking the damn "start timer" button.

Anyway I don't know why I'm rambling about what I'd fix in the app. It's a pretty good app all around, I recommend it.

And stay away from TaskTime! Thing is glitchy, lost my data more than once!

Its a hosted environment and costs me $24 a month, but it has been an intuitive and easy way to track my time. Since its a web app, its already networked for multiple users, and my part time business manager has access to it.

They have an expense tracking feature as well, but I don't find myself using it much because you have to attach each expense to a particular project and client. This comes in handy for things I need to charge the client for, but not for general expenses.

There is also an invoicing feature, but that puts the app at $40 a month, and it doesn't solve the accounting part, where I would have to enter the invoice a second time into Quickbooks.

Maybe someday they will add an accounting feature, or someone else will build a simple income/expense app with an api that plugs into it.

just a thought on your expenses problem. you could set yourself up as an internal client and log all expenses that aren't client related to yourself. that way you have general expenses logged as internal costs.

But since Harvest isn't an accounting app, I still have to enter expenses again into Quickbooks.
I use a business credit card for all my expenses, so its pretty easy to sit down with the monthly statement and enter everything into QB. Except for the QB part.

I use MYOB AccountEdge, which works great. Only thing that bugs me is that producing a beautiful invoice isn't exactly easy, but besides that it does everything I could need. I could probably even get by with their lower level product, FirstEdge, but I started with AccountEdge. Also, I like they've been committed to the Mac forever. Not so sure I could say the same about QuickBooks.
