Indesign Formating Help

I have a large indesign text document that I need to format.

Here is what the paragraphs look like...

Category

Name
Description
Address
Phone

Name
Description
Address
Phone

The description, address and Phone are all normal body copy. However, I need to figure out an easy way to Bold the "Name" on every paragraph. Is there an easy way to do this? I have been playing around with Nesting Styles and Paragraph Styles but I can't figure it out. Please help.

You could do a Find and

You could do a Find and Replace. Type Name in find. Then create the Name in the format you want (bold, etc.) and paste that into the Replace field. Run replace all.

That was just an example of what my fields look like. There are actually different names in each field. Thanks though.

In that case you need to create styles and then apply them line by line. Then you'll have full control of each and will be able to change them on the fly.

Stylesheets

If all of your fields are in one paragraph, then you'll need to use the 'Character Syles' stylesheet pallet.

Hightlight the text you want changed, edit it to how you'd like it to look, then in the Character Styles pallet, click on the 'new' button at the bottom. This will create a new character style based on your edits. Name the style for reference (I think it defaults to 'New character style 1)

Now you can go through your document and highlight each field you want to look like that, and click on the style in the pallet.

You'll obviously have to do this for every field...

Also, if you copy and paste the text box, the styles will transfer.

Easier way?

You can use the eyedropper tool to take attributes from any object or text boxes.

For example, if you have a word in BOLD, you can eyedrop the BOLD text and click and drag (as if selecting) over any other text you want to be BOLD. You can get quick with this and I personally find it easier to use than Style sheets. Especially when using lists.

that's a bad habit

what happens when the client comes back and says, "can you make all the bold text semibold instead?" then you have to go back and use the eyedropper on every occurrence again (and hope you don't miss any). if you had made a style, you'd just have the change the style.

styles are your friends. learn to love them. embrace them. being a designer doesn't have to mean eschewing structure. structure is what makes the boring part (production/editing) easier to do and take less time.

Nesting styles

Create a paragraph style for the Name.
Create a paragraph style for description, for adress and phone.

Then go back to the Name paragraph style and in the style options choose by "next style" Description".
Go to the description style and in the style options choose by next style for "adress"
Go to the adress style and in the style options choose by next style for "phone"

Now your paragraph styles are set up the right way.

To apply the styles in their specific order, select the 4 paragraphs then on a mac use the CTRL (windows right click) and click on the name style and a flyout will appear.

In this flyout you can choose for "apply name then next style".

The four different paragraphs now are formatted at the same time.

This works only if the info is divided in different paragraphs and if the pattern of the data is always the same.
